We had a non-profit organization reach out to us for some help with their data access. When COVID-19 hit, they had to remotely connect. They needed us to transfer data from their local server to Microsoft SharePoint Office 365 so that they could access their files from different devices.
What We Did for The Client
Our Managed IT Services helped this client move all of their data over to Microsoft SharePoint Office 365 , so they could start working from anywhere with complete access to all their data.
This required us to:
- Identify their permissions list and all users that were currently using Office 365
- Migrate all their files into the cloud so that all users could access the file structure
- Show users how to access files and perform local synchronize
- Integrate online backup and backup all data to make sure it is always recoverable
This project gave the client freedom to connect freely to their data and become independent while accessing files from home.
Microsoft SharePoint for Organizations
This client was extremely happy to finally be able to work from anywhere and access all their files and data with the click of a button! As well, they don’t have to worry about cyber threats to their data because all their data was backed up and encrypted. You have to have your hard drive encrypted for safety; if you were to ever use your laptop but all your data is encrypted, other people cannot access it.
Microsoft SharePoint is extremely easy to use and offers great benefits to organizations and businesses. SharePoint allows teams to avoid having servers, as it is accessible from any device; phone, laptop, iPad, etc. With SharePoint, it allows you to keep a copy of files on your laptop in addition to online. So for example, if you are on an airplane, you can still access your files, modify, and edit them. Then when you get back to land and connect to wifi, it will synchronize all the changes straight to the cloud. So even if you don’t have internet access, you can still use your files.
Another incredible feature of SharePoint that is very beneficial is that any user can simply right click on a file, and can select a time and date to access an earlier version if needed. There are multiple restore points, and you have full control!
A lot of companies are moving to cloud based systems such as SharePoint Office 365 , so less and less servers are needed. This is becoming a trend because companies want independence and the ability to work from anywhere, with complete access from anywhere, and SharePoint makes this possible.
Why Use SharePoint 365 Instead of OneDrive?
There is a lot of confusion about OneDrive. When you sign up for Office 365, every user gets OneDrive and SharePoint. There are important differences between OneDrive and SharePoint. OneDrive is not meant for teamwork, it is meant for personal sharing, whereas SharePoint is meant for team sharing.
When you sign up a team with SharePoint, each user gets 1TB of storage. For each user that is added, every user gets an extra TB. For example, if your team has 5 people in it, every user in the team will have 5TB of storage, so more users means more storage. OneDrive however does not change the amount of storage, no matter how many people there are, you only get 1TB. 1TB is not enough storage for a business to share with staff.
The best benefit of Microsoft Office 365 for businesses is that you can use it online. This means you don’t have to have it downloaded directly to your computer. It does not need to be installed at all. You can choose the cheapest version of Office 365 to subscribe to and have the web-based version of Word, Excel, and PowerPoint instead of purchasing the most expensive one!
